Job title: Admin Officer
Salary: 75,000/- PKR (Gross)

Reporting to: Regional Director
Direct Reports: Admin, Facilities, Security, IT (Staff)
Key peer group: Managers, Coordinators, Officers
Location: Rawalpindi
Purpose of the role:
The selected candidate for this position would be responsible to manage the Admin Functions of Regional Centre Pakistan under the guidance of Regional Director. This position is to be recruited for one year which is likely to be extended, however the successful candidate based on satisfactorily performance to complete the six months of probation period.
Key accountabilities:
Managing filing system, inventory, stock registers and office equipment.
Coordinating project level events as necessary.
Record keeping of administrative documents/files.
Responsible for preparing CABI Admin reports and submitting to Management on quarterly basis.
Supervising the Admin, Facilities, IT, and Security Team.
Responsible for management of Vehicles and supervising drivers
To deal with all vendors for Admin functions.
Responsible for repairing & maintenance of buildings, and all other CABI electrical, electronic & gas equipment.
Make correspondence/communications with Government Departments and Vendors
Act and work as a focal person for implementation and upgradation of Business Continuity Plan
Provide necessary support to the Project Teams in day-to-day administrative tasks
Monitors administrative aspects of the office/staff
Develop and maintain effective office systems (e.g., IT support, office maintenance, fixed assets, supplier contact), ensuring these are consistent with CABI’s procedures
Prepare the vendor/services contracts
Work as focal person in all procurement process
The incumbent will be required to work flexibility, in a rapidly developing office environment. It may be necessary to assist, or cover for, other field work from time to time.
Keep an over watch on the provision of the office equipment and stationary for smooth running.
Manage travels, transport and accommodation arrangement for staff.
CANDIDATE PROFILE
Education & Experience
Master Degree in Management discipline with minimum 05 years of experience in Admin/Support functions (Office Management, Security, Logistics, Procurement, IT, Facilities Management, Event Management, Govt. Liaison) with International Organizations/Donor Agencies.
Strong experience to deal with Government Departments/Ministries.
Familiar with all Office IT Tools

Ability to plan work schedules to meet agreed deadlines.
Effective team player and conversant with a transdisciplinary approach.
