Job Description

Maintain an up to date telephone directory of numbers and addresses.
Answer phone calls in a courteous manner.
Greet and assist visitors/guests in a courteous manner.
Make outgoing phone calls on request and transfer to the respective employee/department.
Attend incoming calls and transfer to the respective employee/department.
Arrange appointments on request/instruction given by the respective employee/department.
Timely inform/intimate admin officer/manager in-case of non-functioning of any communication/telephone/fax line and launch complaint to the relevant company.
Make follow-up calls until and unless the complaint would not resolved.
Must follow and act according to the instruction given by the departmental heads/CEO.
Note down accurate messages and convey to the relevant employee/department/company.
Note down accurate time in/out of all employees in-case of non-functioning of attendance machine and communicate the same to the relevant employee/department.
Receive all couriers and make efforts to its timely delivery to the relevant employee/department after recording/entering into the register.
Deliver daily couriers to the representative of Courier Company and distribute courier slips to the relevant department(s).
Make proper documentation/record where necessary/instructed.
